Pearson Communication Coach - Privacy Notice for Users
What is the Communication Coach?
Communication Coach is a tool to help assess and improve English proficiency in the flow of work. It uses real-time interactions, like meetings and speaking practice sessions, to provide feedback to you.
If you have been given access through an employer, we also provide aggregate insights to your organisation’s Learning & Development and HR team, but no information about specific individual’s use of the tutor.
Who sees my Data
You will receive personalised feedback. If your access was granted by an employer that employer is also given access to non personal, aggregated data for cohort analysis – never your transcripts or recordings, which are deleted within 1 working day after your English language proficiency has been recorded. Employers are able to see the aggregated learning evolution of different cohorts in the organization.
What Data is used?
The Communication Coach uses audio and transcripts from meetings and practise sessions, your name, job title and location as well as usage logs and performance metrics to assess your proficiency and provide you with personalised feedback.
Can I opt out?
Yes, you can cease using the tutor at any time. Individuals can contact us directly at https://support.pearson.com/languages/s/contactsupport. If you have an enterprise license you should ask your employer to remove your license and exercise your rights over your data. If we receive a request from a customer to remove or delete data in connection with a specific user we will do so.
What if I don’t have a license and I join a recorded meeting?
The Communication Coach will temporarily process the audio recording and transcript of the meeting, but it will not store or analyse any data that is not related to the individual using the tutor.
Purpose of Data Processing
The Pearson Communication Coach processes the data of those who use the tool in order to:
- Assess English proficiency in the flow of work;
- Provide feedback and English language proficiency insights to individual employees;
- Enable HR and L&D teams to monitor progress and identify development needs (for enterprise licenses only); and
- Support product improvement and AI Model refinement using anonymised data
What Data is Processed and Why

How we protect your Data
- Encryption: All data is encrypted at rest and in transit using your company’s Microsoft Teams encryption keys
- Data Retention: Recordings and Transcripts are retained for a maximum of 24 hours (save for any segments captured for feedback purposes) before being irretrievably deleted.
- Anonymisation: Data is anonymised wherever feasible unless it is required for delivering the assessment insights and feedback provided to individuals and customers.
- Access Controls: Role based access permissions are used to ensure that access to all data is limited to those with a need to see it, all of whom are contractually committed to manage that data in accordance with our policies and applicable legislation.
- Data Minimisation: We do not analyse any data relating to call participants other than the individual with the license for the language tutor, and all information relating to those participants is irretrievably deleted after 1 working day.
- Automated redaction of sensitive content: Any content which includes inappropriate language or behaviour or discussions relating to individuals is excluded from feedback.
- Training: Pearson does not use any personal data for training or model development purposes.
- Location Data: Pearson collects IP addresses to help prevent and detect misuse of services and to route services to the nearest regional servers for faster response times. It is not used for any other purposes such as profiling.
Where is Data Stored
The Pearson Communication Coach processes and stores data in Microsoft Azure environments located in the Republic of Ireland and Sweden, and to the extent it is necessary for any individuals to access that data in the course of supporting the delivery of those services, the individuals doing so are also located in the European Union.
Legal Basis for Processing Personal Information
We process personal data to:
- Provide the service to individuals who sign up to use the Communication Coach (the lawful basis is performance of contractual obligations); - Comply with our contractual obligations to our Data Controller customers for enterprise licenses;
- Where it is in our legitimate interests to do so for product improvement purposes and to ensure data security; and - On the basis of consent where it is appropriate to do so for optional features and data enrichment.
Individual Rights
Individuals using the Pearson Communication Coach as part of an enterprise license should direct requests in connection with their rights (which may include access, rectification, erasure, portability or restrict its processing) to their employer as the Data Controller.
