This year all school, colleges and training providers must maintain accurate estimated completion dates for all their learners as we progress through the year. This is essential to maintain an accurate picture of your 2023/24 cohort, and we can track these learners through to completion.

As learners are enrolled on to their BTEC programmes, you should make their BTEC registrations by 1 November to avoid any late fees. You should check that your centre has approval for the programme they will be following, and if you need to gain approval to run a course you should do this straight away.

Where learners have completed a BTEC programme, and are moving on to a larger sized qualification this year, you should “top up” these learners, and not create a new registration. You can create a top-up once the learner’s previous qualification has been certificated. We are issuing summer certification in October, ahead of schedule to allow you to process top ups.

Make your registrations and entries

The deadline for on time registrations is 1 November, and registrations must be made for all learners beginning the BTEC Tech Award (2022). You should now be making your entries for any learners that are sitting the internally assessed units in December/January, or the external assessment in January. The deadline to submit your entries is 18 October. It is essential these entries are made so that we can assign a moderator for these externally moderated units.

Earlier release of PSAs – out now

After listening to your feedback, we have released PSAs earlier, and for December/January assessment they are available now*. Giving you more time to prepare and deliver the BTEC Tech Awards 2022. These can be accessed using your Edexcel Online user name and password, and can be found on the subject’s qualification page under course materials.

*Art and Design Practice does not include December/January series assessment

Retaking internally assessed components

Learners can retake internally assessed components once during their course.

If learners are retaking internally assessed components, they must respond to the new PSA released for that series. Learners are permitted to adapt work from their initial sitting where it is appropriate. They can use the full allocated time, including monitored preparation where applicable, and if they choose to adapt work from their initial sitting, they will need to repurpose, build upon and/or amend their work to meet the new PSA. Learners should not be overly guided on how to improve their work, and if assistance is provided, this should be documented and considered during assessment.

For further information, centres should follow the JCQ Guidance with particular attention paid to sections 2 and 17.

Whether you deliver BTEC Level 2-3, BTEC Tech Awards (2022), WBL, Functional Skills, or Higher National qualifications the Quality Nominee or Head of Centre will need to complete the Annual Quality Declaration by the deadline of 14 October 2023.

Lead Internal Verifier Registration and Standardisation

You must register a Lead Internal Verifier (LIV) for each programme and complete standardisation between 1 September -14 October (or prior to any formal assessment taking place whichever is soonest). This applies to all centres delivering qualifications covered by BTEC Level 2-3 quality assurance.

Academic year registration

The HN academic year registration deadline is 15 November.

Please provide the correct estimated completion date when making registrations.

Deletions for Higher Nationals

From 1 January 2023, deletions for all Higher Nationals, regardless of whether your programme follows an academic year, must be made within 49 days of the student starting the programme of study (not from the date of registration). From 1 January 2023 any deletions made 50 days or more after the student’s start date will not be eligible for a full refund. It is important that the ‘enrolment date’ for your students is updated in Edexcel Online to reflect their actual start date if that is different to the pre-populated enrolment date of 01 September. The 49 days will run from the ‘enrolment date’ entered in Edexcel Online.

Higher National Annual Student Fee

This is charged on the 2nd anniversary for registration for students not withdrawn, deleted or certificated so with the November registration date coming up, now is a good time to check your historic registrations are up to date.

External Examiner Allocations

These occur in November each year, following the 15 November registration deadline.

This is released in November each year and due by February each year, reflecting back on your previous years delivery.
